How a time card calculator works
A time card (or timesheet) records when you start and finish work each day. To get the hours worked, subtract the clock-in time from the clock-out time and then subtract any unpaid break. Add the days together for the weekly total and, if you know your hourly rate, multiply by the rate to estimate gross pay. This calculator does all of that for a full week and handles overnight shifts, such as 10:00 PM to 6:00 AM.
Minutes to decimal hours
Payroll usually needs decimal hours, not hours and minutes. Divide the minutes by 60: 15 minutes is 0.25, 30 minutes is 0.50 and 45 minutes is 0.75.
| Minutes | Decimal hours | Minutes | Decimal hours |
|---|---|---|---|
| 5 | 0.08 | 35 | 0.58 |
| 10 | 0.17 | 40 | 0.67 |
| 15 | 0.25 | 45 | 0.75 |
| 20 | 0.33 | 50 | 0.83 |
| 25 | 0.42 | 55 | 0.92 |
| 30 | 0.50 | 60 | 1.00 |
Example
Monday to Friday, 9:00 AM to 5:30 PM with a 30-minute unpaid break, is 8 hours a day and 40 hours a week. At $20 an hour that is $800 gross. If you work 46 hours in the same week, the 6 extra hours are paid at 1.5 times: 40 × $20 + 6 × $30 = $980.
Overtime basics (United States)
Under the federal Fair Labor Standards Act, non-exempt employees must be paid at least 1.5 times their regular rate for hours over 40 in a workweek. Some states, such as California, also require overtime after 8 hours in a day, and other rules apply to exempt roles and some industries. The calculator uses a weekly threshold you can change; confirm the rules for your state and employer. Results are estimates before taxes and deductions.
How to use the time card calculator
- Enter time in, time out and unpaid break minutes for each day you worked.
- Optionally add your hourly rate, the overtime threshold and the overtime multiplier.
- Read your total hours, overtime and gross pay.
Frequently asked questions
How do I calculate hours worked on a time card?
Subtract the clock-in time from the clock-out time, subtract unpaid breaks, then add each day. From 9:00 AM to 5:30 PM with a 30-minute break is 8 hours.
How do I convert hours and minutes to decimal for payroll?
Divide the minutes by 60 and add them to the hours. 7 hours 45 minutes is 7 + 45/60 = 7.75 hours.
How is overtime calculated?
Hours above the weekly threshold (40 under federal law for non-exempt workers) are paid at the overtime multiplier, usually 1.5 times the regular rate. Some states also count daily overtime.
Does this work for night shifts?
Yes. If the clock-out time is earlier than the clock-in time, the calculator treats it as the next day, so 10:00 PM to 6:00 AM is 8 hours.
Is the pay figure net or gross?
Gross: before income tax, Social Security, Medicare and any other deductions.
Can I use it for biweekly pay?
Calculate each week separately, because overtime is based on the workweek, and add the two results.
